Description
As the project manager, you must ensure post-project evaluation activities are completed. This includes preparing and conducting one or more project evaluation sessions. Sending out a meaningful invitation email for such an event enables participants to draft their feedback in advance. You may even prepare a short generic survey and ask the participants to fill this out in advance like in this sample invitation. Listing names of attendees to all expected attendees is also important to prepare the participant mentally for such a learning and feedback session. You should send out the invitation at least one week before the evaluation meeting. This advance notice gives people time to suggest additions, deletions, and changes to the agenda. Revise the agenda to address these suggestions, and distribute the final agenda to all the meeting participants at least one day before the meeting.
